Process

Gensolve has defined GPM to give the option to manage Custom Forms within the application in order to personalize the consent form that new patients should fill in. Keep in mind that consent forms should be created and adjusted depending on the clinic needs. Nonetheless, practices can choose a different way to collect this information.

IMPORTANT!

In order to protect personal details, patients not giving consent should be manually erased accordingly. Learn how to do so here.

Steps

If you have allowed for temporary Verbal Consent please see the below suggestions:

  1. Create or edit a Client (Consent not given yet will be displayed by default).

  1. Tick consent checkbox on the Client Details screen (Date, time and System user activating the field will be shown next to the GDPR consent option once it has been saved).

  1. Add Referral Source (now mandatory).

  2. Use the Verbal Consent Highlight if created.

  3. Add 'Verbal Consent' into notes.

  4. Send template GDPR Verbal Consent Provided Email/Letter as confirmation.

  1. Provide a link to Privacy Policy.

  2. Request a return email if they no longer wish to give consent / would like to be erased (forgotten).

  1. When client arrives at practice for appointment collect signed physical letter as proof of consent.

  2. Remove 'Verbal Consent' highlight if created.

  3. Remove 'Verbal Consent' note if created.

 

If the client has signed a physical consent letter, or has emailed back a PDF which includes an electronic signature.

  1. Create or edit a Client.

  2. Tick consent checkbox on Client Details tab.

  3. Add or update Referral Source (now mandatory).

  4. Upload the signed consent letter to the Clients Uploads tab.

  5. Send GDPR Consent Provided email / letter as confirmation.

 

If a new or returning client without consent calls up for an appointment and does not give Verbal Consent:

  1. You can create a quick appointment only, with minimal personal details captured.

  2. When the client arrives for the appointment, have them sign the consent letter.

 

Note: You will have to tick "Consent given?" manually to record any changes against the client. Otherwise, changes will not be saved and a message will pop up informing so.

Clients without the "Consent Given?" option selected will be automatically highlighted in orange on the main form. However, previously set highlights for selected clients will not be overridden.
